Groups on the Emtrain AI platform are quite similar to Learner Groups. Below are some common questions surrounding Group configuration and management.
- Is there a way to preview a list of employees that fall into a group I have created?
- Can I create "nested" group rules?
- Is there a way to see how my Groups and Campaigns are connected?
- Can I delete Groups from my Group List?
Is there a way to preview a list of employees that fall into a group I have created?
Once you have Configured your Groups, you can preview a portion of the users that fall into the group by clicking Preview Rules and referencing the table that populates at the bottom of the page. Note that this table will show the first 20 users that satisfy the group rules, rather than a comprehensive list of all users that fall within that group.
The best way to preview a full list of group members is by adding the Group Field to your User table and then using the Download CSV Tools. Once your CSV user roster file has been downloaded and imported into Excel, you can sort by Group to see who falls into which Group.
Can I create "nested" groups (and/or group rules)?
When configuring groups, you have the ability to create either an AND statement or an OR statement depending on how you Create your Group Rules. Inputting multiple entries into the same Value field in a single Rule means that the system will look for users that have either the first Value OR the second Value. Entering multiple Rules with different Values means that the system will look for users that have both the first AND the second rule satisfied.
Example: Creating a rule that states: "Location is CA, NY" will generate an OR statement, while creating two rules that state "Location is CA" and "Location is NY" will generate an AND statement and will look for users with BOTH CA and NY in the Location Field in their User Profile.
If you have the need to segment your User population with both AND and OR rules, it is best to create multiple groups taking into consideration that dynamic rules cannot be connected with OR. Static Groups can be used to "nest" multiple groups into one umbrella group. However, this can more easily be done by simply adding multiple groups to a Campaign Assignment.
Is there a way to see how my Groups and Campaigns are connected?
Once you have properly Configured a Campaign, you can view a list of Groups that have been assigned to that campaign within the Edit Campaign section. Additionally, once a Campaign has been launched, you can monitor a User's campaign assignments and course progress through the User Lessons Report.
Can I delete Groups from my Group List?
Administrators can delete Groups from the Group List by navigating to the trash can icon on the far right of each Group Name. However, before deleting any groups, it is extremely important to ensure that the group is not connected to an active campaign. Deleting a group that is connected to an active campaign will automatically Withdraw the campaign and close all associated assignments, preventing any users that fell into that group from completing their in-progress assignments.
