Important:
- We highly recommend setting the Assignment Changes tool to Require Approval. This will help avoid accidental assignment changes if you update user data or change group rules.
- Note that in order to be able to utilize the CC Manager campaign configuration, you'll need to import a column noting the email of each employee's manager.
- Send yourself a preview notification by using the Send to Individuals button at the bottom of your notification.
Step 4: Campaign Actions & Editing Settings
Enable closed captioning by clicking ⚙️ in your video player.
Important:
- When a campaign is in draft mode, all settings can be changed. Once a campaign has been deployed, the campaign schedule, type, content, and group cannot be changed. The Assignment Changes and Enforce Sequence settings can be changed. Notifications can also be added if extra reminders are needed, and existing notifications can be edited.
- Withdrawing a campaign should be your last resort.
Tips for Developing your Communication Strategy
A well-outlined communication strategy goes a long way in ensuring your employees stay engaged in your training initiatives and complete their assignments on time. A multi-threaded approach is most effective:
- Craft an official Internal Announcement within your company prior to deploying
- Add a personal message directly from the CEO or other executive at a company-wide meeting to illustrate company priorities and encourage engagement
- Configure automated Campaign Notifications through the Emtrain platform (welcome, reminders, past due, completion)
- Integrate with Slack to send automated reminders, or plan a post schedule with your company's internal messaging app
- Generate an FAQ for your learners that addresses their questions as it pertains to your company goals and intentions surrounding Preventing Workplace Harassment, DE&I, or Ethics training.
Suggested Messaging & Email Templates
Each of our Notification Templates comes with a default message which can be used in it's entirety, modified or re-written completely. You will set up messages for:
- Welcome (on the assignment date)
- Reminders (from assignment until due date)
- Past Due (from due date until training complete)
- Campaign Completion (sent once all assignments in campaign are complete)
Determining the cadence for Reminders and Past Due messaging is helpful prior to configuration. Depending on the length of the campaign, we would suggest the following:
Provide Optional Learning
Shared with Me
In the event that you'd like to provide optional learning to your employees outside of an assigned campaign, you can provide a direct Shared with Me link that allows learners to take the content item with no due date. Note: Learner responses captured through Shared with Me are included in your company's insight and analytics data.
1. Navigate to your Content Library, and search for the content item you wish to share.
2. Click the link icon in the bottom left of the content item's widget to copy its link to your clipboard. You can provide this link to your learner(s) via email, messaging, or whatever form of communication you wish.
3. Once the learner accesses the link, they'll be directed to their Emtrain login. Upon logging in, they'll see the linked content item under the Shared with Me section in their To Do list, below any required assignments.
Shared with Me content items will remain visible until the learner either completes the content, or uses the X to dismiss its widget. If dismissed, a learner can re-access the content item by clicking on the original link.
4. At any time, you can pull a completion report by Content to see what learners have viewed the content item. Note that completion reports will show both those that have taken the course or lesson through an assigned campaign, and those that have accessed it through a shared link.
Those that viewed the content through the Shared with Me link rather than a campaign assignment will not have an Assigned date, Due date, Campaign, or Group listed.
