Manually Deactivate a User
Users may be placed in an "inactive" state from the User Profile.
- Select Users from the Manage Tools
- Locate the User you wish to deactivate and click link under the View column in order to access their profile.
- Click the red Deactivate User button located near the bottom of the profile.
- A confirmation question will appear: "Deactivated users can not login or view content. Are you sure you want to deactivate this user?" Confirm this action by clicking the OK button.
- The user profile is now in an "inactivated" state. You can confirm this with the messaging at the top of the profile: "This user has been deactivated."
Manually Restore a User
Inactive users may be restored to an active state.
- Select Users from the Manage Tools
- Locate the User you wish to re-activate and click link under the View column in order to access their profile.
- Click the green Restore User button located near the bottom of the profile.
- A confirmation question will appear: "Are you sure you want to restore this user?" Confirm this action by clicking the OK button.
- The user profile is now restored to an activate state.
Update User Status via CSV Import
User Status may be updated via the CSV Import tool. To accomplish this, either download a current user roster to edit or manually add a "status" column to the report used for CSV import.
- To deactivate a user, update their status field to "inactive" (case sensitive).
- To re-activate a user, update their status from "inactive" to "active" (case sensitive).
- If a new user is created which does not have data in the status column, by default they will be active.
FAQs
Why would I need to make a user inactive? On that occasion that an employee was terminated they should be moved to "inactive" to reflect that they are no longer part of the active employee count. It is NOT recommended to deactivate employees on a leave of absence—use the On Leave status for this.
Will inactive users receive emails from the system? Inactive users will no longer receive notifications or assignments.
How will I know who is inactive and who is active? Inactive users will populate on the Users CSV Download report, but will be listed as Inactive in the Status Column.
