User profiles include the data for each employee on your account. At this time, only First Name, Last Name and Email Address or Employee ID are required fields. Supervisor Status and Location are strongly recommended. Custom data fields can be added as needed.
Add a New User
- Select Users from the Manage Tools
- Click the Add User button
- Complete the Profile fields
- Password - when selecting "user created," the employee will receive an email with an invitation to complete the registration process and create a password
- Click the Save button
Add a New Admin User
- Select Users from the Manage Tools
- Click the Add User button
- Complete the Profile fields
- Password - when selecting "user created," the employee will receive an email with an invitation to complete the registration process and create a password
- User Role - select "Account Admin" and then select the Admin Role (default is unrestricted)
- Click the Save button
Edit a User Profile
To edit an existing profile:
- Select Users from the Manage Tools
- Search for the User you wish to edit (searches are case-sensitive and require exact matches)
- Click View on the User you wish to edit (scroll to the right on the user table if needed)
- Scroll down and click the Edit User button
- Edit the Profile fields, as needed
- Click the Save button
Profile Fields
- Email must be loaded with a user’s unique email address. This cannot be used for any other profile on your account.
- Employee ID is intended to be a unique identification number which is supplied by your HR System of Record or other HR System.
- Password indicates whether or not the User will receive an email from Emtrain to set their own Password for the system or not. Select User-created f you choose to have learners verify their account by setting up their own password. Choose Admin-created if you choose to skip the verification by the user and set up the password yourself
- Enter Password
- Confirm Password
- First Name must indicate a Users’ First Name. This field will be used for Email Notifications and in their Learner Portal.
- Last Name must indicate a Users’ Last Name. This field will be used for Email Notifications.
- Notification Email is optional and may be included if an employee does not have a work email address and notifications should be sent to a team leader or team inbox. This does not have to be unique across the account. (Note: This field only populates if the Login Method is set to EEID or Email/EEID.)
- Language is intended to indicate a Users’ preferred Language. Currently, the options include English and Spanish, although the interface and course are only available in English at this time. Users have the ability to update this themselves from the Update Profile link.
- Title is intended to be a Users’ Job Title.
- Role is intended to be used as a secondary way of designating employees. Consider using the field to indicate Department, Function, Classification, or another designation.
- Manager Email is intended to link users to their manager. It will appear as the Managers’ Name on a Users profile.The email listed here must also be in a user profile for the two to match up correctly. This field is not used for email communications at this time.
- Date of Hire written in a recognizable date format.
- Supervisor is intended to indicate a users’ Supervisor Status. Please indicate Yes for Supervisor and No for Non-Supervisors.
- Exempt is intended to indicate a users’ Exemption Status. Please indicate Yes for Exempt and No for Non-Exempt.
- On Leave? Yes/No indicates if the learner is currently active or temporarily on leave in which case any active training assignments will be paused until the status is returned to "No."
- Country select from the drop down menu
- US State select from the drop down menu (if applicable)
- City is intended to be a distinct geographic city.
- Location is intended to be a secondary way to indicate a Users’ Location. It could be used to designate the State or Country, the region or even the store number.
- Custom fields appear if you have requested them for additional information to be provided
