Customizing campaign invitation and reminder messages is a great way to highlight the relevance of the training material for your individual company and encourage learners to complete their assignments.
As you craft your notification copy, keep these parameters in mind:
Length - character limits
Each field in the notification message has an upper limit for length.
-
Subject: line - 255 characters
-
From: name - 255 characters
-
From: email address - 255 characters
-
Message body - 65,500 characters
Text Formatting
The Notification editing tool provides a set of text formatting options for the message body. You can add headings, text color and more using the button controls, much like in a word processing document. You can also include clickable email addresses and links to other websites.
The editing tool adds HTML tags on the back end to create the text effects you select. Keep in mind that those tags count toward your overall character count for the message body, even though you don't see them.
Language Support
The character set for all fields is latin1
, so you may use any language based on Latin character sets.
Languages using non-Latin characters, such as Chinese, Japanese, or Korean, are not supported, and romanized translations should be used.
What Not to Include
There are a few limitations to keep in mind when editing Notification content.
- Emoji and Unicode symbols beyond the
latin1
character set are not supported. - Images are not supported. If you paste an image into the message body, the amount of code placed into the text on the back end will likely surpass the character limit all on its own, and your message content won't be saved.
- Avoid using pre-formatted text. If you copy and paste from existing documents, any formatted text may contain embedded CSS or HTML tags that may not respond to changes using the button controls in the Notification editing tool. To ensure your text doesn't contain stray tags, first paste it into a plain-text file using a utility such as Notepad on your computer. Then copy the new plain-text version and and paste it into the Notification message body field in Emtrain.
Troubleshooting FAQs
Common problems encountered when using the Notifications editor:Q. I'm seeing strange code in one of the fields.
A. You may have used a symbol, emoji, or non-Latin character. Delete it using the cursor and Save; the code should disappear.
Q. I entered changes, and now the Save button isn't clickable.
A. The Save button is clickable only if you've made a valid change, so if you added text and then decided to revert to the original version, the Save button may not be activated.
If you did make a change and the Save button is still grayed out, you may have exceeded the character limit in one of the fields. Don't forget to check for stray formatting code, which can add to the character count.
In the message body, ensure that you haven't accidentally included an image; the photo won't show, but its caption or description will -- and the underlying code is likely what's causing the error. Use the cursor to remove it.
Q. I saved my changes, but I'm not sure I've formatted the message body right.
A. You can check your work by sending yourself a test message using the "Send to individuals" button. You'll instantly receive a sample of the notification message in your inbox. You can view it and return to the Notifications tool to make any needed adjustments before saving and deploying the campaign.
